Everything you should know before enrolling: how we handle your data, the terms of study, and the refund policy.
These texts are written in plain language and cover the practical cases, but they are not a substitute for review by a lawyer — particularly as the academy handles minors’ data and collects payments.
Privacy policy
Who we are
Synapse Academy is an education brand operated by Synapse Solutions, based in Cairo, Arab Republic of Egypt. We are the controller of the personal data collected through the website and the platform.
What we collect
We collect the minimum that makes the service work: name, WhatsApp number and email for contact and account creation; student age for level placement; guardian details for students under 18; attendance, submissions and grades for progress tracking; and payment records for invoicing.
We never hold payment details
Card numbers are handled directly by the payment gateway; we receive only a transaction reference. No card data is stored on our servers.
Retention
- Contact and account data: life of the account + 1 year
- Attendance, submissions and grades: 3 years from end of track
- Payment records: 5 years (accounting obligation)
- Class recordings: one year from end of track
Sharing with third parties
We do not sell or rent your data. We use technical service providers who process data on our behalf: hosting and database, the payment gateway, video hosting, a messaging provider, and anonymised analytics. Some may store data outside Egypt; where that happens we contract on equivalent protection terms.
Children and minors
- Enrolment of any student under 18 requires documented guardian consent
- Guardians have full rights to view their child’s data and request its deletion
- We never use minors’ data for marketing or share it with advertisers
Class recordings
All live classes are recorded for students who miss a session or want to revise, including the student’s voice and their screen if shared. Recordings are available only to the same cohort, the instructor and administration, and are never published publicly. If you don’t consent, tell us before the track starts so we can arrange an alternative.
Your rights
Under Egyptian Personal Data Protection Law No. 151 of 2020, you may know what data we hold and request a copy, correct inaccurate data, request deletion except where law requires retention, withdraw marketing consent, and object to specific processing.
Data security
Data is encrypted in transit and at rest, with permission separation at the database level: a student sees only their own data, a guardian only their children, a school only its students.
Terms of use
Scope
These terms govern the relationship between you and Synapse Academy regarding the website, platform and courses. By using the site or enrolling, you agree to them.
Accounts
- Accounts are personal and may not be shared or transferred
- Any student under 18 enrols with guardian consent
- You are responsible for keeping your login confidential and must report unauthorised use immediately
Enrolment and payment
- A seat is reserved once the first payment is made
- An instalment more than 14 days late suspends platform access until settled
- Prices may change for new cohorts but never after you have enrolled in a running one
Attendance
- Every class is recorded and available the same day
- Absence does not extend the track or defer payment obligations
- Miss more than two consecutive classes and your instructor arranges one catch-up session subject to availability
Intellectual property — your code is yours
Every project and line of code you write belongs entirely to you — to use in your portfolio, publish or sell. We ask permission only to feature it in the academy gallery. In return, teaching materials, slides, exercises and recordings belong to Synapse Academy and may not be copied, resold or used for commercial teaching.
Certificates
- At least 80% attendance of the level’s classes
- Submission of all mandatory exercises
- Approval of the level project by the instructor
- Issued by Synapse Academy and not accredited by any government body — stated on the certificate itself
Cancelled cohorts
If we cancel a cohort before it starts, we refund in full or move you to another cohort, your choice. If a class must move, we give at least 24 hours’ notice.
Limitation of liability
We commit to delivering the content, teaching and follow-up described on the course page, but do not guarantee a job outcome, income or admission anywhere. Our liability never exceeds the amount paid for the course in dispute.
Governing law
These terms are governed by the laws of the Arab Republic of Egypt, with disputes falling to the Egyptian courts. We always attempt amicable resolution first.
Refund policy
The principle
We don’t want you finishing a track that isn’t right for you. The policy is written plainly with no hidden conditions, and the free trial exists to reduce the chance you’ll need it.
Refund schedule
- Before the cohort starts: full 100% refund
- Within the first two weeks with fewer than 3 classes attended: full 100% refund, no questions asked
- After two weeks or after 3 classes: pro-rata refund for remaining classes, less a 15% administrative fee
- After passing the midpoint of a level: no refund, but one deferral to another cohort is available
Full track packages
- Levels not yet started are refunded in full
- The current level is calculated per the schedule above
- The commitment discount is reversed on consumed levels, charged at their single-level price
Full refund at any time
- Cancellation of the cohort by us
- A material change to track content or schedule after you enrolled
- Our inability to provide a replacement instructor for more than two weeks
How to request a refund
Send a written request by email or WhatsApp from the details used at registration, with a brief reason. We respond within 3 working days and transfer within 14 working days of approval to the original payment method.
Deferral instead of a refund
If your circumstances are temporary (travel, exams, health), you can request a deferral instead. One deferral per level, valid for six months.
School and corporate enrolments
Institutional engagements are governed by the signed contract, not by this policy.
